How we collect, use and protect the personal data of property owners, guests and website visitors.

Maximogest specialises in the management of local accommodation and medium-term rentals. This policy explains which personal data we process through maximogest.com and in the course of our business, for what purposes, for how long, and what your rights are under the General Data Protection Regulation (GDPR) and Portuguese Law No. 58/2019.

2What data we collect

Property owners and prospective clients

  • Name, email address, telephone number and messages submitted through contact forms, meeting booking forms or rental profitability analysis forms;
  • Property details, billing information (tax number and address), and data required to enter into and perform the management agreement.

Guests

  • Booking data received from booking platforms (name, contact details and stay dates);
  • Identification details required by law for reporting guests to the authorities and for tourist tax purposes.

Website visitors

  • IP address, browser, pages visited and cookie data (see our Cookie Policy).

4How long we retain data

  • Enquiries and analysis requests that do not proceed: up to 12 months;
  • Property owner data: for the duration of the contract and, afterwards, for the applicable limitation period;
  • Guest data: for the period necessary for the stay and for any retention periods required by law;
  • Invoicing documents: 10 years, as required by tax law.

After these periods, the data is deleted or anonymised.

5Data sharing

We do not sell personal data. We share it only when necessary with:

  • Booking platforms on which properties are advertised;
  • Service providers working with us (cleaning, laundry, maintenance, website hosting, accounting and management software), bound by GDPR requirements;
  • The property owner, in relation to bookings for their property;
  • Public authorities, where required by law (guest reporting, municipal authorities and the Portuguese Tax Authority).

If any provider processes data outside the European Economic Area, we ensure appropriate protection through European Commission adequacy decisions or standard contractual clauses.

7Security and updates

We use appropriate technical and organisational measures to protect personal data, including encrypted connections (HTTPS) and restricted access to information. This policy may be updated, and the current version will always be available on this page.
